Caregiver Certification

A difficult issue with running a home care or home health organization is caregiver licenses and certifications. Often it's a full-time job for someone to keep track.


An innovative home care company uses Surveyor to automate the caregiver license and certification renewal efforts.




Here's how



  1. Capture caregiver licenses in Salesforce. This company built an API that moved caregivers and their licenses into Salesforce. For smaller companies it may make sense to enter the license, license type and expiration date directly.

  2. 60 days before the license expires a Salesforce Flow sends an "upcoming renewal" email to the provider. This email explains the process of renewing, the schedule and includes a link to upload the new license (this is a link to a Surveyor survey).

  3. When the license has been renewed, the Caregiver clicks on the survey link which includes the ability to upload a file or photo from a mobile phone.

  4. If the renewal hasn't been uploaded 30 days before the expiration date, a reminder email or text is automatically sent prompting the caregiver to complete it in the next week or he/she won't be included in the next schedule.

  5. If the renewal hasn't been uploaded 14 days before the expiration date, a reminder email or text is automatically sent prompting the caregiver to complete it in order to get back onto the schedule.

  6. When the renewal is completed the caregiver clicks on the link and viewed the Caregiver License Renewal survey. He or she completes the survey and uploads the file (or takes a picture)

  7. When the license renewal has been completed, an internal user is prompted to verify it.

  8. When verified the caregiver is approved for upcoming schedules

  9. Renewed license is API'ed back to the payroll application
